Tips for More Effective Group Meeting (including Virtual Meeting)

We’ve all been to one of those meetings which may have been an email. Running a successful meeting is a learning curve we will all face if we want co-workers or employees to take it seriously. Meetings help in finding a resolution to any problems occurring in work or productivity. Even the most difficult tasks can be accomplished when everyone is on the same page and is conscious of what should be done.
It’s the team meetings that are a key component of any business as employees should know and understand what’s going on with the company and what expectations they need to meet in order for the company to be successful. It is one of the best ways to create a culture of continuous improvement.
In fact, we find ourselves caught, week after week, at unproductive meetings. This blog breaks down how to have a successful face to face as well as virtual meetings so that you can highlight your experience running meetings that everybody enjoys attending.
Thus I have tried to mention a few of the points that one should take into account to make a meeting more productive and purposeful.

    1. Meeting Purpose and Desired Outcome.

      If you are unable to explain why people are there and what you are supposed to achieve, you must not hold a meeting. Thus knowing what you are trying to do and how you are doing it is important.
    2. Structure work to achieve the outcome.

      You can do it just by taking a quick update from each person taking 10 minutes. And last of the 4-5 minutes, you can use to restate what you have done and what’s coming up next to do.
    3. Value people’s time

      This includes inviting only the people whose presence is required and not to have meetings during the middle of events or big projects. Also, we should take care of the scheduling time, how long the meeting should last and avoid rescheduling too.
    4. Getting people engaged

      Spend the first few minutes making sure every person who’s in the room says something. Any kind of ice breaker makes a difference. A simple change that has very positive results is to make every meeting optional.
    5. Take clear notes and then make them available

      This step is critical. If you don’t have meeting records and you’re not sharing them somewhere, you can’t make meetings optional.
    6. Follow up

      Always try to get feedback after every meeting on the agenda. What things worked well and what didn’t? And use that information to improvise what is best for their team. This ensures that the weekly meetings become better every time.
